We continually assess new technologies for protecting information and upgrade our systems when appropriate.

9. Data Retention

Pillaxia retains personal data for operational, legal, and audit purposes with the importance of eliminating outdated, unnecessary data, for as long as is necessary for the purposes set out in this Privacy Policy. This establishes the protocols for retaining and deleting the data collected by Pillaxia, ensuring that the company handles all user data responsibly, securely, and in compliance with applicable laws and regulations. This policy applies to all data stored on our digital platforms, servers, and any physical storage locations. It covers data including, but not limited to, user-generated data, system logs, and transaction records related to medication management activities.

Data collected is limited to what is directly relevant and necessary to accomplish specific purposes. Data is retained only for as long as necessary to fulfill the stated purposes, including compliance with our legal obligations, resolution of disputes, and enforcement of our agreements. Data retained will be protected using appropriate technical and organizational security measures.

The following are the specific retention periods for different categories of data:

  • User Personal and Health Data: Retained for the duration of the user’s active engagement with the app plus a standard period of 5 years post the last interaction to comply with healthcare regulatory requirements.

  • System Logs and Operational Data: Retained for the duration of the user’s active engagement with the app, and no longer than one year post the last interaction, except in cases where longer retention is required for security investigations or regulatory compliance.

  • Financial Transactions and Billing Information: Retained for 7 years to comply with tax and accounting legal requirements.

  • Customer Service Records: Retained for 3 years to accommodate potential claims and queries.

Upon the expiry of the retention periods, data shall be permanently deleted from all storage media. This includes:

  • Deletion of all electronic files and databases containing personal and health data.

  • Secure disposal of any physical records.

  • Where deletion is technically infeasible, data will be securely anonymized to prevent identification of individuals.

Data may be retained beyond the standard periods if required by new legal obligations, during the ongoing investigation of legal claims, or if essential for protecting the legal interests of Pillaxia and its users.

All personal data collected by Pillaxia is stored on servers located within Ireland. As such, the data we collect from our users is processed and stored locally in accordance with Irish data protection laws, which adhere to the strict standards set by the European Union’s General Data Protection Regulation (GDPR). Currently, we do not transfer user data internationally or outside of Ireland.

Pillaxia recognizes the importance of protecting the privacy and safety of children, especially when it comes to their personal health data. Our services are designed to be used by individuals of all ages, including children under the age of consent, as defined by local legislation. We are committed to complying with the Children’s Online Privacy Protection Act (COPPA) in the United States, the General Data Protection Regulation (GDPR) in the European Union, and other applicable laws aimed at protecting children’s privacy. 

Pillaxia does not knowingly collect any personal information from children under the age of consent without the consent of the child’s parent or guardian. When Pillaxia collects personal data from children, it is done so under the direct supervision of a parent or guardian. This data is strictly limited to what is necessary to provide medication management services and to ensure the child’s safety while using our app.

Before collecting, using, or disclosing personal information from a child, Pillaxia requires verified parental consent. Parents or guardians are encouraged to review our practices related to children’s personal information and are given full control over the information provided by and about their child. This includes the rights to review the child’s personal information, request deletion, and refuse further collection or use of the child’s information.

We implement additional safety measures when processing children’s information, ensuring that all data is handled with the highest degree of security and confidentiality.
